2. What data we collect and why

2.1 Online meeting booking system

The Website allows users to schedule an online meeting (held via Google Meet). As part of this process, the following data is processed:

  • first and last name of the person booking the meeting,
  • e-mail address of the person booking the meeting,
  • optionally, e-mail addresses of additional meeting participants ("guests"), provided by the person booking the meeting,
  • the selected meeting date and time.

Purpose of processing: to enable the scheduling and holding of an online meeting, and to send an automatic e-mail confirmation containing meeting details and the Google Meet link — to both the person who made the booking and any invited guests.

Legal basis: Article 6(1)(b) GDPR (processing necessary for the performance of a contract, or to take steps at the request of the data subject prior to entering into a contract).

ℹ️ By providing the e-mail addresses of "guests," the person making the booking confirms that they are authorized to share this data and that they have informed those individuals about the processing of their data in accordance with this Privacy Policy.

2.2 E-mail communications

Automatic e-mails (booking confirmations, reminders, meeting links) are sent through a third-party service provider — Resend. For this purpose, the e-mail addresses of meeting participants are shared with this provider as a data processor acting on behalf of the Controller.

3. Data recipients

Personal data may be shared with the following categories of recipients, acting as data processors on behalf of the Controller:

The Website uses cookies to ensure proper functioning and to improve the user experience.

4.1 Types of cookies used

These cookies are always active and do not require user consent, as they are essential for the proper functioning of the Website.

c) Marketing cookies

4.2 Managing consent — cookie banner

On their first visit to the Website, users are shown a banner requesting consent to the use of cookies. The user can choose to:

  • Accept all — accepting both necessary and analytics cookies,
  • Customize — a panel in which necessary cookies are always selected (and cannot be disabled), while analytics cookies are disabled by default and can be enabled by the user according to their own preference.

The user's decision (selected preferences) is stored locally in the browser (local storage) and used on subsequent visits to the Website so that the banner is not shown again until the settings are changed or the browser data is cleared.

5. Data retention period

  • Booking-related data (name, e-mail, meeting date/time) is retained for as long as necessary to fulfill the purpose for which it was collected (organizing and holding the meeting), and subsequently for as long as necessary to handle any related claims or inquiries. This data is not deleted automatically — users may request its deletion at any time by contacting the Controller (see Section 6).
  • Analytics data collected via Google Analytics is retained according to the data retention settings configured within Google Analytics.
  • Cookie preference information is stored in the browser's local storage until manually cleared by the user.

6. User rights

Under the GDPR, every data subject has the right to:

  • access their personal data,
  • rectify (correct) their data,
  • erase their data ("right to be forgotten"),
  • restrict processing,
  • data portability,
  • object to processing,
  • withdraw consent at any time, without affecting the lawfulness of processing carried out before its withdrawal,
  • lodge a complaint with a supervisory authority — in Poland, this is the President of the Personal Data Protection Office (UODO), ul. Stawki 2, 00-193 Warsaw, Poland.

The Controller reserves the right to make changes to this Privacy Policy, in particular in connection with the development of the Website's functionality, changes in applicable law, or the introduction of new tools (e.g., marketing tools). The current version of the Privacy Policy is always available on the Website, along with the date of the last update shown at the top of the document.
